Successful Events are looking for a full time Events Manager to support the continued growth, work within our busy events team in delivering a demanding and diverse calendar of events each year on behalf of our valued clients, you will be one of the key people supporting the Managing Director based from our head office in Leeds.
The Role
Day to day you will be supporting our clients with their venue finding and event management requirements. This would mean understanding their event briefs, recommending our services and ensuring their event runs seamlessly.
Responsibilities include managing the reactive events team, project managing a range of events and creating monthly revenue reports. You will be pivotal in contributing to quarterly strategy meetings and sales blitz days, motivating team members with company growth in mind.
As the main client contact for new and existing event enquiries, this will require you to prepare proposals, collate responses and review costings leading onto sending confirmations, requesting and checking contracts are correct, coordinate client site inspections and much more!
Part of your role will include delivery plans/timelines, online registration, speaker liaison, delegate and exhibitor management, venue and audio visual co-ordination for various conferences and events across the UK.
On occasion, you will attend Forums, Tradeshows, optional FAM trips and other industry events representing Successful Events, but also to increase your own personal network and knowledge.
About You
In this role as Events Manager, you will use your own knowledge and experience to coach and mentor other members of the reactive events team to enhance their own skillset and working habits.
The ideal candidate will come from an events agency or hotel background.
It is essential and cannot stress enough that candidates applying for this role must have at least 5 years experience in a similar role working for a venue finding and event management company or group of hotels / venues.
Role Responsibilities
• Overseeing the reactive events team with the goal of achieving individual and company targets for the year.
• Assisting with event calendar development, managing production and delivery/organisation of events.
• Acting as the clients trusted advisor providing feedback on venues proposed based on own knowledge and experience
• Maintain regular, effective and appropriate liaison with clients at all times
• Look at solutions to save clients money, add value and up sell other event services that we offer, drive business into hotels and venues with whom we have preferred partnerships in place.
• Delivering events on time i.e. working to deadlines, within budget and to brief.
• Setting, communicating and maintaining timelines and priorities on all managed events.
• Producing detailed event-related briefs and ensuring timely and relevant internal communications.
• Managing supplier relationships and identifying potential new suppliers as appropriate.
• Travelling to site inspections, client meetings and project managing events onsite.
• Identifying new ways to continually improve our events offering and delivery.
• Ensuring excellent customer service and quality of delivery.
• Pre event calls with clients, follow up after the event for feedback and obtain next years event booking.
• Support with contract T&C's, credit application forms, invoices, understanding the bill back process prior to clients signing event agreements.
• Develop and manage client relationships ensuring opportunities are maximised.
• When required, manage all elements of the event including the creation of email invitations, building accommodation booking pages, registration platforms and managing all logistics e.g. Venue Liaison, Audio Visual and Delegate/Exhibitor Management and Speaker Communication.
• Answering the telephone and offer day to day office support.
• Manage company social media accounts, strategy and action weekly.
• Create and send out monthly newsletter to existing and prospect clients.
• Attend industry, networking and exhibition events on behalf of the company. Opportunities to attend FAM / Educational Trips in own time.
• Assist with managing on site requirements of our clients events ensuring health and safety regulations are adhered to.
• Contact venues which match the clients event brief, obtain availability/rates and create a proposal with a shortlist of suitable options.
Skills, Qualifications & Experience.
• Experience managing, mentoring and motivating a team of people
• Must be passionate about delivering conferences and events at the highest level with attention to detail in administration tasks.
• Quick learner with ability to hit the ground running from day one.
• Excellent planning and time management – ability to manage multiple priorities and deadlines.
• Demonstrate strong communication (verbal and written English) and excellent customer service skills.
• Strong negotiation and good accurate numeracy skills
• Flexibility in working hours to meet the needs of the events (out of ‘normal’ working hours will be required).
• Experience in converting meetings and events revenue.
• Fantastic customer service ethic, high quality standards and excellent attention to detail.
• Team player but also have the ability to work independently use your initiative and prioritise whilst working on multiple events.
• Good keyboard skills, proficient using the latest versions of Adobe Photoshop, Microsoft Word, Excel, PowerPoint, Email would be an advantage.
• Willingness / ability to travel (UK). Clean UK driving licence.

From £30,000.00 per year

• Annual Bonus scheme (10% of Basic Salary)
